Deliveroo, Uber Eats, Just Eat, Glovo, Wolt — one queue

GDPR — EU data residency, retention, right-to-erasure automation

Since May 2018, any restaurant that stores customer names, phone numbers, email addresses or delivery notes is a data controller under the General Data Protection Regulation. That includes almost every restaurant running a loyalty programme, an online-ordering database, a table-booking system or a WhatsApp inbox. Online eMenu carries the operational load so the operator does not have to.

Data residency: customer data for European outlets lives in EU AWS and Azure regions (Frankfurt, Dublin, Paris) — never crosses the Atlantic, never transits a non-adequate country. Retention is configurable per data class at 30, 90, 180 or 365 days; PII older than the window purges automatically. Right to erasure requests are one-click: a customer's records vacate within 30 days of the request, and an audit log of the deletion is kept for the mandatory period.

A signed Data Processing Agreement (DPA) under GDPR Article 28 is issued to every European customer on activation, listing the sub-processors, transfer safeguards and technical measures. If your outlets span the UK, Germany, France, Spain, Italy or the Netherlands, one contract with one monthly price should cover all of them — with local tax rules applied per outlet. Vendors that price per country, or that only support two of the six on their standard plan, add contracting overhead that scales with every new opening. Ask for a written quote that names every outlet's country explicitly.

The stakes: KassenSichV is a fineable offence in Germany. NF525 attestations are legally required in France. VeriFactu is rolling out across Spain with a hard AEAT submission deadline. Are all five aggregators native, or is one a paid add-on?

Europe is a five-aggregator market: Deliveroo, Uber Eats, Just Eat / Takeaway.com, Glovo, Wolt. If a vendor treats one as a "partner integration" or a paid add-on, you will still be running an extra tablet on the pass and paying a second monthly line item. Insist on all five, and ask for a live weekly commission report from a real customer — commission by aggregator, split by boost fee, per outlet.

Where does the customer data physically sit, and how fast is a right-to-erasure request?

Under GDPR, customer data for EU citizens should sit in an EU region unless a valid transfer mechanism is in place. Ask the vendor to name the specific AWS or Azure region (Frankfurt, Dublin, Paris) — not "the EU" as a marketing line. Ask for the standard right-to-erasure SLA in days; anything over 30 days is out of policy. Ask for the DPA under Article 28 in writing before you sign.

Is the price €8, €25 or €69 — and what does per-terminal, per-order, per-country add?

Headline prices in this market range from €8 to €250 per month per site, but the killers are per-terminal fees, per-order fees on delivery orders, per-aggregator connection fees, and per-country contract additions. Ask for a written quote at your real volume: three terminals, one KDS, 500 delivery orders a week, all five aggregators, all six countries you operate in. That number — not the headline — is your actual cost.

How long is the contract, and what happens on day 31 if the fit is wrong?

Lightspeed and TouchBistro typically want 12 to 24 months. Tiller can be 12 to 24. SumUp POS runs monthly. Online eMenu is monthly, no lock-in. A two-year contract on a system you outgrow in ten months is a five-figure mistake — always model the exit cost before you sign the entry cost.
